How to Add YouTube Videos or Offline Videos to Word Documents

YouTube has become the standard for sharing videos. Not only is it a great marketing tool, but it also serves as an educational platform. You may already know how to embed YouTube videos on your website, but did you also know that YouTube videos can also be embedded into your Word documents? This article gives you a step-by-step guide to adding YouTube or offline videos to your Microsoft Word documents.

1. How to Add a YouTube Video in a Word Document

When you want to insert a YouTube video into your Word document, click the tab Insert in the top-left corner, right after File and Home. Then click the icon Online Video Media in the Insert ribbon.

A new window will appear asking you to enter the HTTP address of the video. Copy-paste video address from your web browser into the box and click the button Insert. Or you can click the Share button on YouTube below the video and click a copy when a new window appears.

If you want the video to start at a certain timestamp, then check the box Start at… at the timestamp of your choice.

Furthermore, paste the address it into the box Insert a video in your Word document.

After you click the button Insert, you will see a YouTube video embedded into your document. More precisely, you’ll see the thumbnail as an image, the same as it appears on YouTube before it starts playing.

That’s all until the insert video part.

Format your YouTube Videos so that they are properly integrated

As you can see, leaving the video as it is doesn’t look good. The first step to fix it is to click on it and press Ctrl + E on your keyboard. This will center the video. Additionally, you can resize a video by selecting it, clicking on one of the circle’s edges, and then moving your mouse to resize the video thumbnail.

2. How to Add Offline Videos to a Word Document

The downside to adding offline videos (or videos from your computer’s storage) to Word documents is that they will only play on your PC. Videos added from your computer will not play if you send the document to someone else. This is why offline videos are not recommended like online videos. Use the guide below if you decide to add video to your Word document.

First, enable Developer options in your Word document. To do this follow the steps below.

  • Open your Word document, then click File and click Options.
  • Next click Customize Ribbon in the left pane.
  • In the right pane, give a checklist on Developer in the box on the right and click OK.

After you follow these steps, you will find the Developer tab in your Word document. Now you are ready to insert your video into your Word document.

  • Click tab Developer, then in part Controls, click the icon named Legacy Tools as shown in the image below.
  • Click on Legacy Tools and then from the drop down menu (under ActiveX Controls) click on the icon named More Controls.


  • A dialog box like the one below will appear. Scroll down then select Windows Media Player and click the button OK.

You will see Windows Media Player displa
yed in your Word document (as shown below) after you click the OK button. This stage is also a good time to adjust the height and width of your media player by dragging the margin player. You must make these adjustments now, as they won’t be possible afterward.

Windows Media Player will then be inserted in your Word document, but it will not play any content. To load content into your Windows Media Player, follow the steps below.

  • Right click in Windows Media Player and select Properties. You will see a box at the far left of your screen as below.


  • Click Categorized in the box that appears on your screen, then click (custom) and click three horizontal dots next to it to find content for Windows Media Player to embed in your Word document.
  • A dialog box will appear, allowing you to use the button Browse to find the video you want to add to your Word document when you click the button OK.

At this stage, your video is ready to play and you just need to exit Design Mode. To play your video in your Word document, go to the Developer tab and click Design Mode. The video will automatically start playing.

Now your video is ready to play. Enjoy!

To delete this video, click Design Mode again and press Back Space, then it will be gone!
